Hybrid meeting proposal: part in-person, part online

Claire et Thomas, deux collègues de travail qui font partie d’une équipe projet internationale, doivent organiser une réunion importante avec leur équipe dispersée dans plusieurs pays. Ils discutent de la possibilité d’organiser un événement hybride – une partie en présentiel dans leur bureau parisien et une partie en visioconférence pour inclure leurs collègues à distance.

Claire: Salut Thomas ! Tu as une minute ? Il faut qu’on organise cette fameuse réunion avec toute l’équipe projet.
Thomas: Ah oui, bien sûr ! Euh… le truc, c’est qu’on a des gens partout – Londres, Berlin, Barcelone… Comment on fait ça ?
Claire: Ben justement, j’ai eu une idée. Et si on faisait quelque chose d’hybride ? On pourrait se retrouver ici au bureau, nous les Parisiens, et connecter les autres en visio.
Thomas: Tiens, c’est pas mal comme concept ! Mais tu crois que ça marcherait bien ? J’ai toujours peur que les gens en ligne se sentent un peu… exclus, tu vois ?
Claire: Ah, je comprends ta crainte. Mais regarde, on pourrait installer une super caméra qui filme toute la salle, et puis prévoir des moments spécifiquement pour les participants à distance.
Thomas: Ouais, ça pourrait le faire… Et niveau timing ? Parce que bon, entre Londres et Barcelone, il y a déjà un décalage horaire, hein.
Claire: C’est vrai, mais c’est gérable. On pourrait programmer ça pour 14h heure de Paris ? Comme ça, c’est 13h à Londres et 14h à Barcelone. Ça reste correct, non ?
Thomas: Mmh, pas mal. Et tu pensais à quoi exactement comme format ? Une partie brainstorming en présentiel et après on fait le point tous ensemble ?
Claire: Exactement ! On commence par une heure de travail en petit comité ici – toi, moi, Sophie et Marc. On développe nos idées au tableau, on fait nos petits schémas…
Thomas: Et après on connecte tout le monde pour la présentation ! Chouette, j’aime bien l’idée. Mais… euh, attends, Sophie ne m’a pas dit qu’elle était en déplacement la semaine prochaine ?
Claire: Ah zut ! Tu as raison, elle est à Lyon jusqu’à jeudi. Bon, on fait comment alors ?
Thomas: Ben, elle pourrait se connecter depuis son hôtel, non ? Techniquement, elle ferait partie du groupe “à distance”.
Claire: Oui, mais c’est un peu bizarre… Elle qui devait être dans notre équipe “présentiel” se retrouve avec les autres. Ça change un peu la donne.
Thomas: Hm, tu sais quoi ? On pourrait peut-être repenser le truc. Et si on faisait plutôt deux sessions ? Une première en petit comité quand Sophie revient, et une deuxième hybride ?
Claire: Euh… ça risque de rallonger le processus, non ? Le client attend nos propositions pour vendredi.
Thomas: Ah oui, c’est vrai, j’avais oublié la deadline. Bon, alors on maintient l’idée hybride mais on s’adapte avec Sophie en ligne.
Claire: D’accord. Alors, récapitulons : mardi 14h, nous trois au bureau – toi, Marc et moi. Sophie, Julia, Hans et Miguel en visio.
Thomas: Parfait ! Et pour la tech ? Tu penses qu’on peut utiliser la salle de conf du 3ème ? Elle est bien équipée.
Claire: Excellente idée ! Elle a cette grande table ronde, c’est parfait pour filmer tout le monde. Et puis le micro est super performant.
Thomas: Cool ! Bon, et qui s’occupe d’envoyer les invitations ? Il faudrait aussi préparer un petit guide technique pour ceux qui se connectent.
Claire: Je peux m’en charger. Je vais créer un événement avec les deux liens – celui pour rejoindre en ligne et les infos pour venir au bureau.
Thomas: Super ! Et… ah, j’y pense, il faudrait prévoir des pauses différentes, non ? Nous, on pourra discuter autour de la machine à café, mais les autres…
Claire: Bien vu ! On fera des pauses synchronisées. Comme ça, tout le monde reste dans le rythme. Dix minutes toutes les heures ?
Thomas: Parfait ! Dis-moi, tu crois qu’on devrait faire un test technique avant ? Histoire de s’assurer que tout fonctionne bien ?
Claire: Ah oui, bonne idée ! On pourrait programmer ça lundi en fin d’après-midi ? Un petit test de quinze minutes avec tous les participants ?
Thomas: Génial ! Comme ça, s’il y a des problèmes de connexion ou de son, on a le temps de résoudre ça avant la vraie réunion.
Claire: Alors c’est parti ! Je prépare tout ça et j’envoie les invitations cet après-midi. Ça va être notre première expérience hybride !
Thomas: J’ai hâte de voir ce que ça donne ! Au pire, si ça marche bien, on pourra réutiliser ce format pour d’autres projets.
Claire: Exactement ! Bon, je file préparer ça. À plus tard !
