Organization of a larger company integration event

Dans les bureaux de l’entreprise TechnoVision à Lyon, Sarah, responsable des ressources humaines, rencontre Julien, chef de projet marketing, pour organiser la grande fête annuelle de l’entreprise. Ils doivent coordonner tous les détails pour un événement qui réunira plus de 200 employés.

Sarah : Salut Julien ! Alors, on s’y met pour cette fameuse soirée d’entreprise ? Le patron veut vraiment qu’on frappe fort cette année.
Julien : Ah oui, bonjour Sarah ! Euh… franchement, je suis un peu stressé. 200 personnes, c’est énorme ! Tu as déjà une idée du budget ?
Sarah : Ben, la direction nous a alloué 15 000 euros. C’est pas mal, mais il faut être malin. J’ai pensé à louer une salle dans le 7ème arrondissement.
Julien : Chouette ! Et pour la date ? Moi je proposais le samedi 15 juin, qu’est-ce que t’en penses ?
Sarah : Hmm, attends… *consulte son agenda* Oh zut ! Le 15, c’est la Fête de la Musique ! Ça va être compliqué niveau transport et restaurants.
Julien : Ah bon ? Mince alors… Et le samedi d’avant ? Le 8 juin ?
Sarah : Tiens, c’est mieux ! Bon, alors pour le lieu, j’ai repéré trois endroits : le Centre de Congrès Confluence, l’Hôtel Carlton, ou alors une péniche sur le Rhône.
Julien : Une péniche ? Oh là là, c’est original ! Mais euh… et s’il pleut ? Et puis, est-ce qu’il y a assez de place pour tout le monde ?
Sarah : T’as raison, c’est risqué. Le Carlton, c’est plus sûr mais plus cher aussi. Qu’est-ce qui te paraît le mieux ?
Julien : Ben, le Centre de Congrès, ça me semble pratique. Il y a le parking, c’est accessible en métro… Et niveau prix ?
Sarah : 3 500 euros pour la soirée complète. Ça laisse 11 500 pour le reste. Pour l’animation, tu penches plutôt pour quoi ? DJ, orchestre, spectacle ?
Julien : Ah, bonne question ! Notre public est assez varié… Il y a les jeunes du service informatique qui adorent danser, mais aussi les cadres plus âgés…
Sarah : Exactement ! J’ai contacté un DJ qui fait aussi de la musique live avec des musiciens. Ils s’adaptent à l’ambiance. Ça coûte 2 800 euros.
Julien : Ça me plaît ! Et pour la bouffe ? Parce que là, hein, il faut vraiment assurer !
Sarah : Alors, j’hésite entre un buffet traditionnel ou des food trucks. Les food trucks, c’est tendance et convivial…

Julien : Ouais, un traiteur professionnel serait plus sûr. Ils ont l’habitude de ces contraintes.
Sarah : T’as raison. J’ai les coordonnées de “Saveurs & Tradition”, ils font du super boulot. Pour 200 personnes, avec apéritif, plat principal et dessert, ils demandent 6 500 euros.
Julien : Ça nous fait combien au total ? Euh… 3 500 + 2 800 + 6 500… 12 800 ! Aïe, on dépasse !
Sarah : Zut alors ! Attends, on peut peut-être négocier avec le traiteur ? Ou alors supprimer l’apéritif ?

Sarah : Avec nos fournisseurs habituels, je dirais… 1 500 euros facilement. Ça nous ramène dans le budget !

Sarah : Oui, j’y pensais. On pourrait demander des volontaires dans chaque service ? Avec une petite compensation, bien sûr.

Sarah : Les invitations ! Il faut les envoyer au moins trois semaines avant. Et puis prévoir les photos souvenirs, peut-être un photomaton ?
Julien : Génial ! Allez, on fait ça ! Cette soirée va être mémorable, j’en suis sûr !
Sarah : Eh ben, au boulot alors ! Je m’occupe des prestataires, tu gères la communication interne ?
